PFML Export

INVISION Payroll offers functions for tracking and reporting to the state of Maine for the Maine Paid Family Medical Leave (PFML).  An employee scheduled deduction can be set up to deduct the appropriate amounts from employee paychecks and accumulate the quarterly wages.  In addition, the PFML Export can be used to create an export file for reporting employee quarterly wages pertaining to the Maine Paid Family and Medical Leave for the state of Maine.  It’s also important to note that fringe functions are available for setting up and tracking the employer share, if applicable.

To open the PFML Export, click Reporting --> Government --> Maine State Reporting --> PFML Export.

PFML Export Prompts

Quarter/Year

Enter the number of the quarter and the year to report. (qyyyy)  After entering the quarter/year the PFML file is automatically created.

Note:  If the following message displays, the PFML file for the quarter has already been created.  To rebuild the file if for example, there has been another payroll run in the quarter, click Yes.  Or to use the already built file, click No.

PFML List

The PFML list on the right includes all employees having a state code of ME and quarterly earnings for the quarter specified.  The employees with no wages for the quarter display on the left.  

Double-click any row to edit the employee information, if needed.  After clicking save, the changes to an employee will be shown in the list and will be exported.

 

Employer Information

Employer information to be included with the PFML Export file needs to be set up the first time that you go through this process.  Once the information is entered it is saved and can be used and edited each time the export file is created.  

To open, click Employer Information .  Use the directions below to enter information.  When finished click outside of the window to save and close the window.

 

 

Employer Information

The Employer information fills in from the Company Control information, but you can change it as needed.

  • Federal ID - Displays from the Company Control

  • Name - Displays your company name

  • Address - Displays the company mailing address

  • City, State Zip Code - Displays the city, state and Zip code

  • MPL Account # - Enter the account number issued to your organization when you registered on the Maine PFML portal.

Contact Information

Enter the following contact information.  This is included with the PFML file and can be used to contact the appropriate person in your organization if there are questions on the file.

  • Contact Name - Enter the name of the person creating the PFML file.

  • Contact Phone # - Enter the phone number for the person creating the PFML file.

  • Contact Extension - Enter the phone extension, if applicable.

  • Contact Email - Enter the email address of the person creating the file.

Export Path

Enter the location where the PFML file will be placed or click Browse to look for the location.  After the location is set, it will not change unless you want to change the location of where the export file is to be placed.

NDS Path recommendation:  c:\ndsys\servers\statereporting\

Export File Name - The export file will be named according to the state specifications:
PFML[Quarter][Payment Year].txt.  Example:  PFML012025.txt

Export Options

Export Options are options for certain information that can be included with the Export file.  You can set the Export Options after the PFML list is created.  Check the appropriate selections and then click outside of the window to save the options and close the window.

 

  • Amended - Check this box if you have already uploaded a file and need to send a corrected copy.

  • Did you have at least 15 covered employees for 20 or more weeks ... - Check this box to indicate that your organization has at least 15 covered employees during the specified period.

  • Final Return - Check this box if your organization is closing and this will be your final submission.

  • Cease Date - Enter a Cease Date, if the Final Return is checked.

To create the PFML Export file after confirming the employee information is correct, click Create Export File.

When finished the following message displays.  Make sure it says Process Complete and then click Close to close the window.

 

To print a list of the employee information in the PFML file, click Print Report.  This is an optional report that can be used if you need to manually upload PFML information.   For a sample report, click PFML Export Report Sample.
