Field Description - Deduction Description - Abbreviated
The Deduction Description - Abbreviated field contains a brief description of the deduction. The abbreviated description appears in some windows, such as Check Entry, and prints on the check stub. You can also use it to group deductions on W-2 forms. You can maintain this field during Deduction Master Maintenance.
Note: Certain types of deductions require more than one Deduction Code for an employee. For example, retirement plans such as 401(k), 403(b), 408(a), 408(b), 457, and 501 each require a separate Deduction Code. However, these separate deductions must be accumulated and reported as a single figure on the W-2 form. There are two methods of grouping the deductions together:
The preferred method is to assign abbreviated descriptions that all start with the same three characters for the group of applicable deductions. For example, if you enter 408 as the prefix in the abbreviated description for all of the 408-type deductions [such as 408(a) and 408(b)], the system automatically groups the values together on the W-2 form.
An alternative method is to enter all deductions that apply (sometimes more than 20 deductions) at the time you prepare the W-2 run.
