City/State/Zip Maintenance

Use City/State/Zip Maintenance to maintain codes for City, State locations frequently used.  The City/State/Zip Codes allow you to quickly enter required address information and can be used in any INSight File Maintenance routine that requires City, State and Zip Code information.

To see directions for...

• Opening City/State/Zip Maintenance, click More.

   

  • Click File Maintenance from the Menu Bar, click Standard Maintenance and then click City/State/Zip.

  • Or, use the keyboard shortcut:  [ALT] [m] [t] [c].

   

• Creating a new City/State/Zip Code, click More.

   

  Enter the new City Code and click Retrieve or press [ENTER] if the button is in focus.

  Tip:  To indicate that you are building a new City Code, displays next to the City Code.  Default entries display and the first field is highlighted to let you know you can begin entering information.

  City/State/Zip Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for that field name.
  City Code	Enter the code assigned to this City, State and Zip Code location. (3 characters) Tip:  For best results, use a consistent method for assigning City Codes to cities having multiple Zip Codes.
  	To update the new or changed information click Save or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + s]
  	CAUTION:  To avoid losing data, you must save new or changed City Codes.
  	You can use Search to view all of the existing City Codes.  From the Search list you can select a City Code to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing City Code, enter the Code and click Retrieve or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + t]
  City	Enter the name of the City.  This will display wherever the City Code can be entered. (up to 15 characters)
  State	Enter the US Postal Service two-character State abbreviation where this city is located. (2 characters)
  Zip	Enter the Zip Code (postal code) associated with this City Code. (10 characters)

• Editing an existing City/State/Zip Code, click More.

   CAUTION!  If you forget to click Save, you may lose your changes.

  1.  To display the record to be changed, enter the City Code and click Retrieve or press [ENTER] if the button is in focus.
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the City Code, you can click Search to see a list of Codes.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save or press [ENTER].
  Keyboard shortcut:  [ALT + s]

   

• Deleting a City/State/Zip Code, click More.

  1. To display the record to be deleted, enter the City Code and click Retrieve or press [ENTER] if the button is in focus.
     Keyboard shortcut:  [ALT + t]
     Tip:  If you do not know the City Code, you can click Search to see a list of Codes.

  2. Click File from the Menu Bar, and then click Delete.
     Keyboard shortcut:  [ALT] [f] [d]

  3. At the Delete Records prompt, click the Proceed button to delete the record
     or, click the Cancel button to escape from the delete routine.
