Remarks Maintenance

Use Remarks Maintenance to create and maintain different types of remarks or messages that can be used in a variety of ways, including dunning messages.  You can attach remarks to patient services during Charge Entry or Payment Entry.  You can use them as general dunning messages on patient statements and as appointment/recall logging types in Scheduling.

Notes:  

• Do not confuse the Remarks maintained in Remarks Maintenance with the fields Remarks 1 & Remarks 2 in Patient Entry.  They are two different types of remarks and each has a different function.

• Opening Remarks Maintenance, click More.

   

  1.  Click File Maintenance from the Menu Bar.

  2.  Click Standard Maintenance .

  3.  Then click Remarks.
  
  Or, use the keyboard shortcut:  [ALT] [m] [t] [m].

   

  Remarks Maintenance Window Example:

  

• Creating a new Remark Code, click More.

   

  Remarks Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for that field name.
  Remarks Code	Enter the Code assigned to these remarks. (up to 5 characters, user-defined) Tip:  If you are building a new Remark, displays near the Remarks Code.  Default entries display and the first field is highlighted to let you know you can begin entering information.
  	To update the new or changed information click Save or press [ENTER]. Keyboard shortcut:  [ALT + s]
  	CAUTION:  If you forget to click Save, you may lose your changes.
  	You can use Search to view all of the existing remarks.  From the Search list you can select a remark to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing remark, enter the Remark Code and click Retrieve or press [ENTER]. Keyboard shortcut:  [ALT + t]
  Line 1	Enter the first line of the remark. (up to 30 characters) Notes: Line 1 will merge with line 2, and line 3 will merge with line 4 to form a single block of text. Because the lines will merge, do not split a word between lines by hyphenating. If the sentence is continuing onto the next line, be sure to leave a space after the last word on the line.
  Line 2 - 4	Enter the second, third and fourth line of the remarks, if applicable. (up to 30 characters) Note:  Refer to the notes in Line 1 for more information about creating remarks.

• Editing an existing Remark Code, click More.

   CAUTION!  If you forget to click Save, you may lose your changes.

  1.  To display the record to be changed, enter the Remarks Code and click Retrieve or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Remark Code, you can click Search to see a list of Remarks.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save or press [ENTER].

• Deleting a Remark Code, click More.

  1.  To display the record to be deleted, enter the Remarks Code and click Retrieve or press [ENTER]
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Remarks Code, you can click Search to see a list of Remarks.

  2.  Click File from the Menu Bar, and then click Delete.
  Keyboard shortcut:  [ALT] [f] [d]

  3.  At the Delete Records prompt, click the Proceed button to delete the record
  or, click the Cancel button to escape from the delete routine.
