Submitting W-2s Electronically To SSA
The Social Security Administration (SSA) encourages employers to file the employee W-2 information electronically on the SSA website. To submit your W-2 Magnetic file electronically, please read the following information and refer to the information supplied by the SSA or visit their website at www.socialsecurity.gov/employer.
Important:
To access the SSA Business Services Online (BSO) and upload your W2 file electronically, you must first obtain a User ID (formerly referred to as a Personal Identification Number (PIN)) and Password. To obtain a User ID and Password:
Access the website at www.socialsecurity.gov/bso/bsowelcome.htm; under the Business Services Online section click Register and follow the steps for registering.
Or, call 1-800-772-6270 (M - F, 7a.m. to 7p.m.) to register and get a User ID and Password.
You must change your password at least once every 365 days to keep your User ID from expiring. If you obtained a User ID to file electronically you must change your password this year to keep your User ID active.
Generally this is the last step in the W-2 Reporting process. For more information on the timing and sequence of steps, see the W-2 Reporting Procedure.
To transmit the electronic employee W-2 file that is created during XML W-2 Magnetic Filing, do:
1. Connect to the BSO using this address: www.socialsecurity.gov/bso/bsowelcome.htm.
2. Click Log In.
3. Enter your User ID and Password.
4. Follow their steps to upload your file.
