Scheduling Appointment Type Maintenance

Use Scheduling Appointment Type Maintenance to maintain information about the types of appointments your practice has.  Information maintained includes the appointment type description, the length of time needed for the type of appointment, the amount of malpractice coverage generally required, and if the appointment type is unconditionally unavailable.  Appointment Types are used to format and build each provider's daily schedule for scheduling appointments.

• Opening Scheduling Appointment Type Maintenance, click More.

   

  • Click File Maintenance from the Menu Bar, and next click Scheduling Maintenance; then click Appointment Type.

  • Or, use the keyboard shortcut:  [ALT] [m] [c] [t].

   

• Creating a new Scheduling Appointment Type, click More.

   

  To create a new record choose one of these methods:

  • Enter the new Appointment Type ID and click Retrieve , or press [ENTER] if the button is in focus.
    Keyboard shortcut:  [ALT + t]

  • Or, enter the new Appointment Type ID and click File from the Menu Bar; next click New.
    Keyboard shortcut:  [ALT] [f] [n]

  Tip:  To indicate that you are building a new Appointment Type, New  displays near the Appointment Type ID.  Default entries display and the first field is highlighted to let you know you can begin entering information.

  Scheduling Appointment Type Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  Appointment Type ID	Enter the unique identification assigned to the Appointment Type information. (up to 6 characters) Required
  	To update the new or changed information, click Save or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save new or changed records.
  	To view all of the existing Appointment Types, click Search.  From the Search list you can select the record to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing Appointment Type, enter the Appointment Type ID and click Retrieve, or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + t]
  Type/Proc Flag	To indicate this is a type of appointment, click Type in the drop-down list. To indicate this is a procedure type of appointment, click Proc(edure) in the drop-down list.
  Description	Enter the full description for this appointment type. (up to 40 characters)
  Alternate Search	Enter an alternate or abbreviated name to be used for searching for the type of appointment. (up to 8 characters)
  Duration	Enter the default number of minutes to allow in the schedule for this appointment. (3.0 numeric)
  Additional Resources Needed	To indicate this type of appointment needs additional resources such as, a specific room or a particular piece of equipment, click Y(es) in the drop-down list. To indicate this type of appointment does not require additional resources, click N(o) in the drop-down list.
  Malpractice Required Limit	Enter the amount of malpractice insurance coverage the provider is required to maintain if performing this type of appointment or procedure, if applicable. (7.2 numeric)
  Unconditionally Unavailable	To prevent this type of appointment from being booked in the schedule, click Y(es) in the drop-down list. To allow this type of appointment to be available for scheduling, click N(o) in the drop-down list.
  Discontinued Flag	To indicate the Appointment Type is discontinued, click Y(es) in the drop-down list. To indicate the Appointment Type is active, click N(o) in the drop-down list.
  Color	To assign a color to use for appointments scheduled with this type of appointment, click a choice in the drop-down list.
  Appointment Instructions	Please leave blank.  This field is reserved for future use.

• Editing an existing Scheduling Appointment Type, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed records.

  1.  To display the record to be changed, enter the Appointment Type ID and click Retrieve , or press [ENTER] if the button is in focus.

  Tip:  If you do not know the Appointment Type ID, you can click Search  to see a list of Appointment Types.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save , or press [ENTER] if the button is in focus.

• Deleting an existing Scheduling Appointment Type, click More.

   

  1.  To display the record to be deleted, enter the Appointment Type ID and click Retrieve , or press [ENTER] if the button is in focus.
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Appointment Type ID, you can click Search  to see a list of Appointment Types.

  2.  Click File from the Menu Bar, and next click Delete.
  Keyboard shortcut:  [ALT] [f] [d]

  3.  At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
