Positive Pay Check Maintenance

Use Positive Pay Check Maintenance to change the status of checks in the export file before exporting the file.  In addition, you can add manual payroll checks to the file, if needed.

To see directions for...

• Opening the Positive Pay Check Maintenance, click More.

   

  1.  Click Payroll from the Menu.

  2.  Click Daily Work.

  3.  Click Positive Pay Export.

  4.  Click Check Maintenance.

• Changing the status of a check, click More.

   

  To change the status of a check in the Positive Pay work file:

  1.  Enter the check number to edit.  
  Or, click Search to find the desired check number.

  2.  Click Retrieve .

  3.  Verify that the check information that is displayed is for the check to change.

  4.  To change the check status to voided, click to check the Voided box.  This marks the check as voided so that it is disabled and cannot be cashed.  
  Tip:  To change a voided check to outstanding, click to remove the check in the Voided box.

  5.  Click Save to complete your work.

   

• Adding a manual check to the export file, click More.

  To add a manual payroll check to the export file:

  1.  Enter the check number to add to the Export file.

  2.  Click Retrieve .  New! displays.

  3.  Enter the following:

  a.  Employee Number:  Enter the employee number or, click Search to look for the employee.

  b.  Check Date:  Enter the check date in mmddyy format.

  c.  Amount:  Enter the dollar amount of the check.

  d.  Voided:  If the check should be voided, click to check the Voided checkbox.  This marks the check as voided so that it is disabled and cannot be cashed.

  4.  Click Save to complete your work.
