Payment Entry - Entering a Rebill Transaction

The procedure for Entering a Rebill Transaction describes how to set up and use a Rebill Transaction Code.  You can use a Rebill Transaction when you want to generate a claim to rebill an insurance company.  Rebill transactions do not affect the balance of a charge ticket.

Tip:  To enter rebill transactions, use Method 1 By Detail, as described in this document.

  Follow the steps below to set up a Rebill Transaction Code.

  1. During Transaction Code Maintenance, create a Transaction Code called RB.
     Tip:  Although you can call the Transaction Code anything you want, NDS recommends RB.

  2. For the Credit/Debit/Description option, select Description to indicate that the A/R balance will not be affected by the rebill transaction.

  3. For the Transaction Type, select the D(escription) option to indicate that the charge ticket's balance will not be affected by the rebill transaction.

   

• Entering a Rebill Transaction, click More.

   

  Follow the steps below to enter a Rebill Transaction and generate the rebill statement, HCFA form, or electronic claim.

  1. Load the Patient.

  1. Enter the Patient Account Number in the Patient Reference Panel.

  2. Press [ENTER] to activate the Patient Load button.

  2. To open Payment Entry and display the Batch Entry Window, click Payment Entry in the Menu Tree.
     
     Note:  If the Batch Entry Window does not display automatically because it was already opened today, click Batch in the Batch Information Area of the Work Window.
      

  3. Review the Batch Entry Window defaults.

  1. Select the By Detail (Manual Method) option in the Cash Application field.

  2. Enter Batch # XXX.  (Substitute your initials for XXX).

  3. Press [ENTER] to activate the OK button and to move onto the Work Window.

  4. Review the following Work Window Areas.  You probably do not need to make any changes.

  5. Patient Guarantor Area

  6. Patient Balances Area

  7. Batch Information Area

  5. Select the ticket to rebill.  Click to highlight a line for a ticket in the Ticket List Section of the Transaction Detail Area.

  6. Press [ENTER] to activate the Add New Transactions button.  You will see the Ticket Detail Section display.

  7. Enter the transaction details.

  1. Enter  the Transaction Code with a D(escription) Transaction Type, such as RB.

  2. Enter the Amount.

  3. Press [ENTER] to activate the Add Line button, which completes entry for the current line.

  4. Press [ENTER] to activate the End Payments button to finish entering detail lines and to display the Commit Payments Area.

  5. Specify Y(es) for the Gen Claims option.

  6. Press [ENTER] to activate the Commit Payments button.
