Physical Inventory Variance Report Instructions

Use the Physical Inventory Variance Report to view differences between item quantities stored in the system and actual physical counts.  The Physical Inventory process offers flexibility and may be done for the entire inventory or for specific areas within your inventory.  For that reason, it is important to carefully choose the ranges for each step in the process so that the desired items are included in each step.  

Tips:

• Item costs used in the variance calculations are pulled from different fields depending on how the Inventory Settings Cost Based On option is set.  The Cost Based On options are 0=Average cost, 1=Standard cost, or 2=Last cost.

• Items with a zero quantity in the physical count field will not report a variance as it can not be calculated.  In this case, N/A displays instead.

  Physical Inventory Variance Report Instructions Prompts Tips:   To see more information about a field, click the hyperlink for the field name. Report Parameters can saved and then, loaded after being saved.  For information, see Reporting Toolbar.
  Item	To specify a range of Items to include in the report, click to select the lower range/beginning Item.  To specify the ending range, click to select the upper range Item. Notes:   To include all items in the report, leave the lower and upper range blank for All.   Or, to only include a specific item, enter the Item as the lower range. To search for an Item, click in the lower or upper range and then press [Ctrl + f].
  Location	To specify a range of Locations to include in the report, click to select the lower/beginning Location.  To specify the ending range, click to select the upper range Location. Note:  To include all locations in the report, leave the lower and upper range blank for All. Or, to only include a specific location, click to select the specific location as the lower range.
  Bin	To specify a range of Bins to include in the report, enter the lower/beginning Bin.  To specify the ending range, enter the upper range Bin. Note:  To include all bins in the report, leave the lower and upper range blank for All.   Or, to only include a specific Bin, enter the Bin as the lower range.
  Cycle Code	To specify a range of Cycle Codes to include in the report, enter the lower/beginning Cycle Code.  To specify the ending range, enter the upper range Cycle Code. Note:  To include all codes in the report, leave the lower and upper range blank for All.   Or, to only include a specific Cycle Code, enter the code as the lower range.
  Product Category	To specify a range of Product Categories to include in the report, click to select the lower/beginning Product Category.  To specify the ending range, click to select the upper range Product Category. Note:  To include all product categories in the report, leave the lower and upper range blank for All. Or, to only include a specific product category, click to select the specific product category as the lower range.
  Sort Parameters
  Sort	To maintain the sort parameters, click Sort .
  Order	To specify the fields to sort the report by, enter any positive number into the Order field.  A value of 1 means sort by this field first, 2 means sort by this field second and so on.  The numbers do not need to be sequential but they must be greater than zero.  In the example above, inventory is sorted first by location, then by bin and product category. Notes: Two sorts with the same number will get sorted before others with larger numbers and after those with smaller numbers, but the actual order for those two sorts is indeterminate. To remove a sort order for a field, delete the value in the Order field.
  Ascending	To sort in an ascending manner, click to select the Ascending checkbox.  Or, leave the Ascending checkbox blank to sort in descending order.
  Active	The Active flag must to set to enable the field to be sorted.  To set the Active flag, click to check the corresponding checkbox.  Important:  If Active is unchecked, the field will not be used for sorting even if there is a Order value entered for the field.
  Options Parameter
  Options	To specify the Options for the report, click Options .
  Show Items with Zero Variance	To display items even when their computer count and physical count do not differ, click to check this box. To omit displaying items with zero variance (computer count and physical count do not differ), leave this box unchecked. Notes:   This option is disabled by default, which means the report only displays items with differing counts. Items with a zero quantity in the physical count field will not display a variance as it can not be calculated.  In this case, N/A displays instead.
  	To begin printing to the Windows® default printer, click Print, or press [ENTER]. Or, to print to the Print View window, click Print View . Or, to escape from the print routine, click Cancel .
