Serial Number Maintenance

Use Serial Number Maintenance to track and maintain serial numbers for serial type items.  Items that are stored in inventory may have a serial number associated with them, for items like furnaces or carpeting.  Serial numbers are always associated with an item at a given location.  In addition to viewing and tracking serial numbers, you can use this maintenance to update serial number quantities and assign new serial numbers to items.

You can search for serial numbers by item, location, specific serial number or a combination of these parameters.  You can find serial numbers for specific items, or at locations or for a specific serial number.  If you leave a search field blank, then the search item is ignored.  For example, if you want to find all the serial numbers at a location, select the location, then leave item and serial number fields blank.  All serial numbers at the specific location will display.

Notes:

• Only items with an Item Type of Serial can be assigned Serial Numbers.  

• While serial numbers can be created for items during this maintenance, you can also create serial numbers for serialized items during Transaction Entry and Inventory Master Maintenance.

• Opening Serial Number Maintenance, click More.

   

  1.  Click File Maintenance from the Menu Bar.

  2.  Click Serial Number Maintenance.

• Viewing an Existing Serial Number, click More.

   

  1.  To view serial numbers, enter:

  Item:  Leave blank to view all items.  Or, enter the item number.  
  Tip:  If you do not know the Item, you can click Search  to see a list of items.

  Location:  Leave blank to view serial numbers for all locations.  Or, select the desired location from the drop-down list.

  Serial Number:  Leave blank to view all serial numbers or, enter the serial number.  
  Tip:  If you do not know the Serial Number, you can click Search  to see a list of serial numbers.

  2.  Click Search  to see a list of serial numbers which fit the criteria displayed in the viewing pane.

  3.  To view the associated inventory detail for a serialized item, double-click on the line with desired serial number information.  
  Tip:  The Inventory Master Maintenance window opens with the Inventory item information displayed.

   

• Editing a Serial Number quantity, click More.

   

  1.  To view the quantity to be changed, enter the Item or Location associated with the serial number, or enter the Serial Number.  The appropriate serial number will display in the viewing pane.
  Tip:  If you do not know the Serial Number, you can click Search  to see a list of serial numbers.

  2.  Position the pointer at the Quantity field that you want to change.

  3.  Enter the updated quantity.  Tip:  The Quantity must be positive.

  4.  To complete the edit process, click Save .

   

• Creating a New Serial Number, click More.

• Deleting an Existing Serial Number, click More.

   

  1.   To view the serial number to delete, enter the Item or Location that the serial number belongs to, or enter the Serial Number.  The appropriate serial number will display in the viewing pane.
  Tip:  If you do not know the Serial Number, you can click Search  to see a list of serial numbers.

  2.  Click to highlight the row that contains the serial number to delete.
  Note:  To delete multiple serial numbers, hold the Shift key and click to select each row with a serial number to delete.

  3.  Click Delete Selected Entries and the following prompts display.

   

  

   

  4.  At the Delete prompt, click Yes to delete the serial number, or click Cancel to escape from the delete routine.

  5.  After clicking Yes to delete, the serial number is deleted.  
  Note:  If you are deleting multiple serial numbers, a confirmation prompt will display for each serial number to be deleted.
