Transaction Entry - Transaction Detail

Use the Transaction Detail Area to maintain the details of the transactions.  The table following the window example describes the Transaction Detail Area for Transaction Entry.

I added an additional routine to transaction delete process which deletes associated serial transaction records.

Tip:  For more information about working with data in fields, see the Data Entry Guidelines.

Directions:

To display the Transaction Detail Area, open Transaction Entry.

Item

Enter the item to be updated by the transaction.  The item description displays for your reference.

Notes:  

  • To search for the Item, click Search .

  • The values for the cost, unit of measure, and GL category are automatically filled from the Item Master.  If the item only exists at one location, this location displays.  However, all fields can be edited after the item is selected.
    Note:  The auto fill feature can be disabled by checking the box for Automatically fill fields from Item Master, if desired.

  • After a transaction for a serial type item has been entered, the Create Serial Number Maintenance routine opens to allow serial numbers to be associated with a transaction.

Location

To select the location, click a choice in the drop-down list.  If your company is a single-location company, the location is automatically selected.

Quantity

Enter the amount of the item at the chosen location for the transaction.  

Notes:  

  • The Transaction Type determines how the quantity will update the inventory item On Order, Committed or on hand amounts.  For example, a receipt Transaction Type with a quantity of 20 will add 20 to the current on hand count at the chosen location.

  • For Sale and Transfer type transactions, Quantity on Hand for the item at the selected location will display above the Quantity.  This allows you to quickly check how many items can be sold or transferred.

Unit of Measure

Defaults to the item UOM.  To specify another Unit of Measure for the item, click a choice in the drop-down list.

Cost

To accept the default standard cost for the item, press [Tab] or, enter another cost for the item.

Phase

Enter the phase for the item, if applicable.

Destination

Enter the location where the item is destined to be located, if applicable.

Note:  Destination is only available for transfers.

GL Category

To specify the GL Category for the transaction, click a choice in the drop-down list.  The GL Category determines the GL Accounts that will be updated during the Transaction Post routine.

To complete the transaction detail line, click Save.

Tip:  A new transaction is automatically created after saving a transaction line.

 CAUTION

To avoid losing data, you must save new or changed records.

To begin a new transaction line, click New Transaction.  Entries are cleared from all fields and the cursor is positioned for entry of the next transaction.
