Print Courtesy Statements

EDIFICE provides for courtesy statements that can be generated for customers who are owners but are not the responsible party and for third-parties such as lawyers, mortgage holders and other interested parties.  Courtesy statements are generated in a separate statement run from regular statements and will use a statement ID that is set for courtesy statements.  It's important to note that the customer who is financially responsible for the account will still receive a regular statement and a courtesy statement will be sent to the courtesy customer or additional address(es).

 

There are 2 ways courtesy statements can be set up.  Setup for each method is described below.

1.  If you have a customer set up and they are not the responsible party for billing, but they want to receive a statement, you can set them to receive a courtesy statement.  For example, a customer may want to receive a courtesy statement if they have a tenant paying the utility bill, but the customer may be affected by the tenant's non-payment.

2.  If you want to send a courtesy statement to an interested party (lawyer, mortgage holder, etc) but you do not want to set up a customer, you can create an additional address for the customer being billed.  Courtesy statements for customer additional addresses for mortgage holders, banks or other third-parties that should be notified concerning the account can be generated for bills, misc AR statements, finance charge statements, shut off and past due statements.  In addition, if you set up multiple additional addresses for a customer, each address can generate a courtesy statement.

 

Note:  A statement ID for generating courtesy statements needs to be set up.  Please contact NDS Support at 800-649-7754 for assistance.

 

Setting up Courtesy Statements for a Customer who is not financially responsible

To set up a customer to receive courtesy statements for an account that they are not financially responsible for, do the following:

1.  Set Customer Courtesy Statement Option
For each customer that needs to receive courtesy statements, the customer's courtesy statement option needs to be checks.  

 

2.  Set up Statement ID for Courtesy Statements
Northern Data Systems Support will set up a statement ID for courtesy statements.  Go to Statement Parameter Maintenance to check that the statement ID for courtesy statements has the Courtesy Only Statement option checked.  

 

Setting up Courtesy Statements for Additional Addresses

To set up for generating courtesy statements using additional addresses assigned to a customer do the following:

Note:  If using this method, you will not set the courtesy statement option on the customer.

 

1.  Use Customer Address Maintenance to create Additional Address for the Customer and check the Active box.
Tip:  You can add multiple addresses to receive courtesy statements.  Each address that has the Active setting checked will generate a courtesy statement.

2.  Set up Statement ID for Courtesy Statements
Northern Data Systems Support will set up a statement ID for courtesy statements.  Go to Statement Parameter Maintenance to check that the statement ID for courtesy statements has the Courtesy Only Statement option checked.  

 

Generating Courtesy Statements

To generate courtesy statements for courtesy customers or for additional addresses, use the courtesy statement ID for printing statements.  Courtesy statements need to be run separately from regular statements.

Note:  If addition to courtesy statements for billing, courtesy statements for other types of statements such as misc AR statements, finance charge statements, shut off and past due statements can be generated.  You can use the same statement ID for each type of statement as was used for courtesy billing statements.
