Winter Quarter Maintenance

Use Winter Quarter Maintenance to maintain information about winter quarter billing.  During this maintenance you can specify the months to be winter months and the active months for winter quarter billing purposes.

Tips:

• Do not confuse Winter Quarter Maintenance with Billing Winter Quarter Table Maintenance.  They are two separate maintenance routines and have separate functions.

• Generally, the information from Winter Quarter Maintenance is used for Winter Quarter billing method 4.  For more information about seasonal billing adjustments, see Billing Parameter Winter Quarter Method.

• Opening Winter Quarter Maintenance, click More.

   

  1.  Click Daily Work from the Menu Bar.

  2.  Click File Maintenance.

  3.  Click Code Maintenance.

  4.  Click Miscellaneous Maintenance.

  5.  Click Winter Quarter Maintenance.

• Creating a New Winter Quarter Record, click More.

   

  To create a new record choose one of these methods:

  • Enter the new Winter ID and click Retrieve , or press [ENTER].
    Keyboard shortcut:  [ALT + t]

  • Or, enter the new Winter ID and click File from the Menu Bar; next click New.
    Keyboard shortcut:  [ALT] [f] [n]

  Tip:  To indicate that you are building a new Winter Quarter, New  displays near the Winter ID.  Default entries display and the first field is highlighted to let you know you can begin entering information.

   

  Winter Quarter Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  Winter ID	Enter the unique identifier to assign to the winter information. (up to 10 characters)
  	To update the new or changed information, click Save or press [ENTER]. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save new or changed records.
  	To view all of the existing winter quarter tables, click Search.  From the Search list you can select the record to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing winter quarter table, enter the Winter ID and click Retrieve, or press [ENTER]. Keyboard shortcut:  [ALT + t]
  Title	Enter the title for the winter quarter table. (up to 20 characters)
  Description	Enter the description for the winter quarter table. (up to 40 characters)
  Winter Month 1 - 6	Enter the number that represents the first winter calendar month for winter quarter billing. (2.0 numeric) Note:  Continue entering the months as needed to identify your winter months.
  Active Month 1 - 6	Enter the number that represents the first active calendar month for winter quarter billing. (2.0 numeric) Note:  Continue entering the months as needed to identify your active months.

   

• Editing an Existing Winter Quarter Record, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed records.

  1.  To display the record to be changed, enter the Winter ID and click Retrieve , or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  
  Tip:  If you do not know the Winter ID, you can click Search  to see a list of Winter Quarter Tables.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save , or press [ENTER].

• Deleting an Existing Winter Quarter Record, click More.

   

  1.  To display the record to be deleted, enter the Winter ID and click Retrieve , or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Winter ID, you can click Search  to see a list of Winter Quarter Tables.

  2.  Click File from the Menu Bar, and next click Delete.
  Keyboard shortcut:  [ALT] [f] [d]

  3.  At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
