Collection Workfile Maintenance

Use Collection Workfile Maintenance to delete individual customers from the Collection Workfile that was generated during the Collection Create Workfile routine.  For example, you can use this routine to remove a customer from the Collection Workfile if the customer has contacted you about making a payment on their overdue balance.

Notes:  

• You can not add or edit a customer collections record during Collection Workfile Maintenance.

• If you delete a customer collection record during Collection Workfile Maintenance, reprint the Collection Print Journal for a complete audit trail.

• Opening Collection Workfile Maintenance, click More.

   

  1.  Click Processes from the Menu Bar.

  2.  Click Collection.

  3.  Click Workfile Maintenance.

• Creating a New Customer Collection record, click More.

  IMPORTANT:  Collection Workfile Maintenance is for viewing and deleting customer collection records only.  You can not create new customer collection records through this maintenance.

   

• Displaying an Existing Customer Collection record, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed records.

  To display the desired record, enter the Customer ID and click Retrieve , or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  
  Tip:  If you do not know the Customer ID, you can click Search  to see a list of customers.

  Collection Workfile Maintenance Field Descriptions Tip:  To see more information about a field, click the hyperlink for the field name.
  Customer ID	Enter the unique identifier for the customer. (up to 12 characters)
  	Note:  Save is not available during this maintenance.
  	To view all of the existing customer collection records, click Search.  From the Search list you can select the record to change or delete. Keyboard shortcut:  [ALT + r] Tip:  You can use the Search function to print a simple Customer Collection list.
  	To display an existing customer collection record, enter the Customer ID and click Retrieve, or press [ENTER]. Keyboard shortcut:  [ALT + t]
  Tip:  The following fields display for your verification.
  Service Code	Displays the service code associated with the customer's arrears balances.
  Collection Date	Displays the date the customer is sent to collections.
  Due Date	Displays the date the arrears amount is due from the customer.
  Arrears Amount	Displays the Arrears Amount for the customer.

   

• Editing an Existing Customer Collection record,, click More.

   

  IMPORTANT:  You can not edit a customer collection record during Collection Workfile Maintenance.

   

• Deleting an Existing Customer Collection record, click More.

   

  1.  To display the record to be deleted, enter the Customer ID and click Retrieve , or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Customer ID, you can click Search  to see a list of customers.

  2.  Click File from the Menu Bar, and next click Delete.
  Keyboard shortcut:  [ALT] [f] [d]

  3.  At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
