Payroll Employee Sick Accrual for ME Paid Leave Law
The PR Sick Accrual for ME Paid Leave Law module accrues sick time in accordance with the ME Paid Leave law. When activated, sick time will be accrued based on hours worked for employees set for this type of accrual. Sick time will be accrued proportionately and will be pro-rated based on hours worked.
The PR Sick Accrual for ME Paid Leave Law offers another method for accruing employee sick time and works independently of the INVISION Payroll Employee Accruals, which accrues sick time based on pay periods. If your organization has employees who are currently participating in employee accruals and they are above the minimum required by law, then you do not need to change those employees.
To active sick time accrual for ME Paid Leave Law set up the following:
Set the Other Payroll Options
Activate employees eligible for sick accrual based on ME Paid leave law
If the employee qualifies and is not covered by another other accumulation of sick time, open Employee Totals and check the ME Paid Leave Eligible box in the Vacation/Sick Detail section
If the
employee has a pay calculation code of 2
for Daily, open
the Employee
Master and in the Daily Hours
field enter the number of hours for which the employee's day is equivalent
Note: It is important
to check that employees are properly set up for their pay calculation
code. If they are not, then the sick time accrual will not calculate
correctly.
Activate Other Pays that are eligible for accruing sick time, if needed
If the hours for the other pay are applicable to ME Paid Leave, check the Include Days/Hours in ME Paid Leave Hours Worked at the bottom of the window.
If Include
Days/Hours in ME Paid leave Hours Worked box is checked, the following
prompt displays:
If yes is selected, the system will update all employees with this
other pay to the same Include Days/Hours in ME Paid Leave Hours Worked
setting.
Activate
individual employee other pays
if there are certain employee other pays that you want to include
when accruing sick time.
You can do this if you did not automatically set all employees with
the other pay setting. Or, you may find that this step is not
necessary.
Check the Include Days/Hours in ME Paid Leave Hours Worked box at the bottom of the screen.
When entering paychecks during Payroll Check Entry, you will need to enter the number of hours for any eligible time the employees worked in order for the accrual calculation to be accurate. This includes maintaining hours for salaried employees by using the PRHOURS table to automatically populate their time or by manually entering the hours during Check Entry. If you do not enter hours for salaried employees, accrual amounts cannot be calculated.
How Sick Time Accruals are calculated by Pay Calculation Code when Participating in ME Paid Leave Law
Hourly - Enter the employee's time and the accrual calculates based on accrual increments set in the Other Payroll Options table.
Salaried - Time fills in from the PRHOURS table or you can manually enter the hours in the Time field. Accrual calculates based on hours worked and the accrual increments set in Other Payroll Options table.
Daily - Enter the time, which in this case refers to the number of days worked. To determine the hours worked: # Days x Daily Hours field. Ex: Employee Daily Hrs = 6 and # days worked = 5. 5 x 6 = 30 hours. Calculated accrued sick time = .75, based on hours worked and the accrual increments set in the Other Payroll Options table.
The employee Sick Time Hours/Days Accrued fields will be updated during the Payroll Post in the same manner as the other employees who have accrued sick time through other agreements are.
To look at an individual employee's sick accruals use the Employee totals, Vacation/Sick Time area. To see all employees' sick accruals, run the Payroll Vacation/Sick Report.
