Pro-Rate Table Maintenance

Use Pro-Rate Table Maintenance to view and edit old rate tables if necessary.  Generally, Pro-Rate tables are copies of rate tables before you change the rates.  The rate tables are copied to Pro-Rate tables by the Pro-Ration Utility as part of the process to change rate structures.  Edifice uses the Pro-Rate tables to prorate customer bills if there are rate changes during the billing period.

Notes:  

• Pro-Rate tables only appear in this maintenance if you have performed the Pro-Ration Utility.

• Generally, pro-rate tables are for viewing only.  They are updated by the Pro-Ration Utility and under normal situations you do not need to edit them.

• Edifice does not use Pro-Rate tables to pro-rate an individual bill if the customer's service was started or stopped in the middle of the billing period.  For directions to enter this type of pro-rated bill, see Bill Entry - Entering Special Bills.

• Opening Pro-Rate Table Maintenance, click More.

   

  1.  Click Daily Work from the Menu Bar.

  2.  Click File Maintenance.

  3.  Click Code Maintenance.

  4.  Click Pro-Rate Table Maintenance.

• Creating a new Pro-Rate Table, click More.

   

  To create a new record choose one of these methods:

  • Enter the new Pro-Rate ID and click Retrieve , or press [ENTER].
    Keyboard shortcut:  [ALT + t]

  • Or, enter the new Pro-Rate ID and click File from the Menu Bar; next click New.
    Keyboard shortcut:  [ALT] [f] [n]

  Tip:  To indicate that you are building a new Pro-Rate table, New  displays near the Pro-Rate ID.  Default entries display and the first field is highlighted to let you know you can begin entering information.

  Pro-Rate Table Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  Pro-Rate ID	Enter the number that identifies the pro-rate structure. (3.0 numeric)
  	To update the new or changed information, click Save or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save new or changed records.
  	To view all of the existing pro-rate tables, click Search.  From the Search list you can select the record to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing pro-rate table, enter the Pro-Rate ID and click Retrieve, or press [ENTER]. Keyboard shortcut:  [ALT + t]
  Title	Displays the title for the pro-rate table. (up to 14 characters)
  Description	Displays an expanded description for the pro-rate table. (up to 40 characters)
  Rows 1 - 24 Tips:   Displays as many rows as needed for the rate structure. Each row represents a usage level or a "step".  Each time the usage level changes or breaks, there is a new row in the table. If you only charge one rate (one usage level), the Usage Level is 0 and the rate displays in the first Rate field.
  Usage Level	If different rates are charged, displays the break level for this "step" of the rate. (11.0 numeric)
  Rate	Displays the rate per 100 units of usage. (7.7 numeric)

   

• Editing an existing Pro-Rate Table, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed records.

  1. To display the record to be changed, enter the Pro-Rate ID and click Retrieve , or press [ENTER].
     Keyboard shortcut:  [ALT + t]
     
     Tip:  If you do not know the Pro-Rate ID, you can click Search  to see a list of pro-rate tables.

  2. To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3. Enter the data changes.

  4. To complete the edit process, click Save , or press [ENTER].

• Deleting an existing Pro-Rate Table, click More.

   

  1. To display the record to be deleted, enter the Pro-Rate ID and click Retrieve , or press [ENTER].
     Keyboard shortcut:  [ALT + t]
     Tip:  If you do not know the Pro-Rate ID, you can click Search  to see a list of Pro-Rate Tables.

  2. Click File from the Menu Bar, and next click Delete.
     Keyboard shortcut:  [ALT] [f] [d]

  3. At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
