Check Entry - Run Code Area

Use the Run Code Area to verify the Run Code that you entered when you opened Check Entry and to verify the check dates that you entered in the Edit Payroll Check Dates prompt, if applicable.  In addition, if the employee is set up to distribute the pay among multiple departments, you can enter the regular hours totals and the salary (if applicable) to control the detail line amounts.  The table following the window example describes the Run Code Area for Payroll Check Entry and Permanent Payroll Check Entry.

Tip:  You can only maintain the fields in this area if the employee is set to have their pay distributed to multiple departments.  You can set up pay distribution during the Employee Pay Distribution Area of Employee Master Maintenance.  For more information, see Advanced Feature - Distributing Pay to Multiple Departments.

Directions:

To work in the Run Code Area...

1.  Open Payroll Check Entry or Permanent Payroll Check Entry.

2.  Enter the Employee Number and click Retrieve.

3.  If the employee is set up for pay distribution, enter the regular hours or salary.

4.  If pay distribution is active for the employee (causing the Salary and Regular Hours fields to be active) use one of the following methods to complete the Run Code Area and move to the Pay Detail Area:

Tip:  To see more information about a field, click the hyperlink for the field name.

Run Code

Displays the Run Code that you entered during Run Code Entry when you opened Check Entry.  (1.0, predefined)

Tip:  If you want to enter pay information for an employee with a different Run Code, simply click Done for the current employee.  Then click the new Run Code in the drop-down list before entering the next Employee Number.  If this is the first time you are entering checks for the Run Code during the current pay period, you will be prompted by the Edit Payroll Check Dates window.

Scheduled Period

Displays the Scheduled Period that you entered during Edit Payroll Check Dates for this Run Code.  (1 character, predefined)

Check Date

Displays the Check Date that you entered during Edit Payroll Check Dates for this Run Code.  (MM/DD/YY)

Note:  This field does not appear during Permanent Payroll Check Entry.

Period End Date

Displays the Period End Date that you entered during Edit Payroll Check Dates for this Run Code.  (MM/DD/YY)

Note:  This field does not appear during Permanent Payroll Check Entry.

Notes:  The following fields are active only when adding new check information for an employee who was set up for pay distribution to multiple departments during Employee Master Maintenance in the Employee Pay Distribution Area.  If so, this banner displays in the Pay Detail Area:

If you edit the paycheck information later, you can not change these fields.

Regular Hours

Enter the Regular Time worked (usually expressed in hours or days) to distribute to each of the employee's departments. (4.3 numeric)

Notes:

  • If the employee has Pay Distributions defined, this value defaults to the Time Default-Salaried value specified during PR Hours Table Maintenance (PRHOURS).  If the table does not exist, the value defaults to 40.00 hours.  If there are no Pay Distributions, 0.00 (zero) displays.

  • If you press [ENTER] (or click the Distribute Auto Pay banner) to move focus to the Pay Detail Area, the program calculates the hours according to percentages in the Pay Distribution, and creates the detail lines, which add up to this value.

Salary

Enter the Salary Rate for the employee if distributing the pay to multiple departments.  (5.2 numeric)

Notes:

  • If the employee has Pay Distributions defined, this value defaults to the Salary Rate entered during the Employee Information Area of Employee Master Maintenance.  If there are no Pay Distributions, 0.00 (zero) displays.

  • If you press [ENTER] (or click the Distribute Auto Pay banner) to move focus to the Pay Detail Area, the program calculates the amount according to percentages in the Pay Distribution definition, and creates the detail lines, which add up to this value.
