Batch Letter Writer Instructions

Use the Batch Letter Writer routine to print personalized patient letters that are generated into a letter file.  There are 4 routines that generate patient letters into a work file.  The includes the patient past due letter that were generated from the ATB report, the various types of letters generated from the Clinical Recall Analysis Report, the patient appointment recall reminders generated from the Print Recall List and the patient scheduled appointment reminders generated from the Patient Letters Scheduled Appointments Create Workfile routine.  The patient letters are user-defined and must be set up using a CURL routine called Add/Change/Delete Letter Formats.

• This report is also known as the Letter Writer.

• Do not confuse Batch Letter Writer and Letter Writer with Patient Letters.  Letter Writer and Batch Letter Writer routines use predefined letters created during Add/Change/Delete Letter Formats routine in CURL.  The Patient Letters routines are separate routines and have separate functions that use XML to create the letters.

• Opening the Batch Letter Writer, click More.

   

  1.  Click Reports from the Menu Bar.

  2.  Click Batch Letter Writer.
  
  Or, use the keyboard shortcut:  [ALT] [r] [b] [b] [Enter].

• Choosing the Selections at the Prompt Window, click More.

   

  Batch Letter Writer Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  Type	Select the type of letter to print: Entry Options: P - Past Due - Prints patient past due letters generated from the ATB report R - Recalls - Prints patient recall letters generated from the Print Recall list M - Miscellaneous - Prints patient letters generated from the Clinical Recall report S - Scheduled Appointments - Prints patient scheduled appointment reminders generated into the Scheduled Appointments Letter Create Workfile
  Letter #	Enter the number of the user-defined letter to print. Note:  The letters are created using the Add/Change/Delete Letter Formats routine in CURL.  For more information, contact NDS Support.
  Next Contact Date	Enter the next contact date, if applicable. (mmddccyy) Note:  This field is only active if the letter requires a Next Contact date.
  Date Range From	To limit the letters to a range of dates, enter the beginning letter date. (mmddccyy) Tip:  To include all letters, please leave blank.
  Date Range Through	To limit the list to a range of dates, enter the ending date. (mmddccyy) Tip:  To include all letters, please leave blank.
  Sort Option	To specify the order that the letters should print, click a choice in the drop-down list.
  Unprinted Letters Only?	To only print letters that have not been printed yet, click to check this box.  To print all letters even if the letter has been printed before, leave this box unchecked.
  	If there are forced fields in the letter that require information to be entered, click the Check for Forced Entry box.  A forced field can be a name, the person who is sending the letter out, or appointment dates.  The information is different on a letter to letter basis and is not stored in INSight. Note:  This prompt is only active if there is a forced field in the letter.
  Forced Entry Steps After clicking Check for Forced Entry, the following window displays:
  Field	Enter the value for the forced field.  In this example the forced field is day.
  	To continue with the patient letter, click Continue. Note:  If there is another Forced field, after clicking Continue it will display and you will be prompted to enter the field value.
  	To stop the entering forced entries, click Cancel.
  	Displays the default printer number for printing letters.  To change, enter another printer number.  For more information, see Printing Options.
  	To generate the letters, click Print or press [ENTER]. Keyboard shortcut:  [ALT + p]
  	To escape from printing letters, click Cancel. Keyboard shortcut:  [ALT + c]
