Age Groups Maintenance

Use Age Groups Maintenance to organize customer age balance fields (also called age buckets) into groups for processing purposes.  You can use Age Groups to group customers together for processing past due notices, shut off notices and liens.  For example, you can set up an age group that includes only current balances, a group that includes 30, 60, and 90 day balances, and another group that includes only 120 day balances.  When you run past due notices, you can choose the 30-60-90 day group or the 120 day group.  Edifice automatically selects the customers with balances falling within the selected group.  In addition, you can use Age Groups for reporting purposes.

Notes:  

• Because the Age Balance fields are user-defined, the field names in the software may not match the documentation.  For more information, contact NDS Technical Support.

• Do not confuse Age Groups with Finance Periods.  They are two separate programs with separate functions.

• Opening Age Groups Maintenance, click More.

   

  1.  Click Daily Work from the Menu Bar.

  2.  Click File Maintenance.

  3.  Click Age Maintenance.

  4.  Click Age Groups Maintenance.

  Tip:  Or, use the keyboard shortcut:  [ALT] [y] [m] [a] [g].

• Creating a new Age Group, click More.

   

  To create a new record choose one of these methods:

  • Enter the new Age Group ID and click Retrieve , or press [ENTER] if the button is in focus.
    Keyboard shortcut:  [ALT + t]

  • Or, enter the new Age Group ID and click File from the Menu Bar; next click New.
    Keyboard shortcut:  [ALT] [f] [n]

  Tip:  To indicate that you are building a new age group, New  displays near the Age Group ID.  Default entries display and the first field is highlighted to let you know you can begin entering information.

  Age Groups Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  Age Group ID	Enter the unique identification for the Age Group. (up to 5 characters)
  	To update the new or changed information, click Save or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save new or changed records.
  	To view all of the existing age groups, click Search.  From the Search list you can select the record to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing age group, enter the Age Group ID and click Retrieve, or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT + t]
  Title	Enter the title for age group. (up to 15 characters)
  Description	Enter the description for the age group. (up to 40 characters)
  Age Fields	Entry Options: To assign an age balance field to the age group, select the box. To exclude an age balance field from the age group, de-select the box. Note:  Because the Age Balance fields are user-defined, the field names in the software may not match the documentation.  For more information, contact NDS Technical Support.

   

• Editing an existing Age Group, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed records.

  1.  To display the record to be changed, enter the Age Group ID and click Retrieve , or press [ENTER] if the button is in focus.
  Keyboard shortcut:  [ALT + t]
  
  Tip:  If you do not know the Age Group ID, you can click Search  to see a list of age groups.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save , or press [ENTER] if the button is in focus.

• Deleting an existing Age Group, click More.

   

  1.  To display the record to be deleted, enter the Age Group ID and click Retrieve , or press [ENTER] if the button is in focus.
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Age Group ID, you can click Search  to see a list of age groups.

  2.  Click File from the Menu Bar, and next click Delete.
  Keyboard shortcut:  [ALT] [f] [d]

  3.  At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
