Scheduling - Appointment Book Tasks

The Appointment Book Task Instructions in the following table guide you to topics for information about performing specific tasks in the Scheduling Appointment Book Area.  These instructions describe how to create and reschedule appointments, navigate within the Appointment Book Area, change the displayed technicians and manage their time slots, and change the columns and icons displayed in the Appointment Book.

  How To...	Instructions...
  Schedule an appointment	To schedule an appointment, use one of the following methods to open the Scheduling - Schedule Appointment Window: Click to highlight the desired time slot and click Schedule in the Scheduling Toolbar. Or, simply double-click the time slot.
  Schedule an appointment for a new customer at a location	To schedule an appointment for a customer who has not yet been added during Create Customer Wizard and does not yet have an Customer ID: Open the Scheduling - Schedule Appointment Window: Click to highlight the desired time slot and click Schedule in the Scheduling Toolbar. Or, simply double-click the time slot. Notes:   Be sure to include the forwarding address for the old customer of the location and the phone number for the new customer.   After you schedule an appointment, you can create the new customer using the Create Customer Wizard.
  Cancel an appointment	To cancel an appointment: Click to highlight the desired appointment time and click Cancel Appointment in the Scheduling Toolbar. Tip:  For more information, see Scheduling - Cancel Appointment Window.
  Reschedule an appointment	To reschedule an appointment: 1.  First, cancel the current appointment following these steps: a.  Click to highlight the appointment in the Appointment Book Area to be canceled. b.  Click Cancel on the Scheduling Toolbar. Tip:  For more information, see Scheduling - Cancel Appointment Window. 2.  Next, schedule the appointment at a new time.  Refer to the Scheduling - Schedule Appointment Window.

  How To...	Instructions...
  Display columns for later days	On the Scheduling Toolbar, click the Right Double-Arrow to display one full panel to the right. Or, click the Right Single-Arrow to move one column to the right.
  Display columns for earlier days	On the Scheduling Toolbar, click the Left Double-Arrow to display one full panel to the left. Or, click the Left Single-Arrow to move one column to the left.

   

• Managing the Technicians in the Appointment Book, click More.

   

  How To...	Instructions...
  Add or change the technicians displayed	In the Scheduling Parameters Panel, enter the Technician Code(s) and click View .
  Add or change the territories displayed	In the Scheduling Parameters Panel, enter the Territory Code(s) and click View .

   

• Changing the Appearance of the Appointment Book, click More.

   

  How To...	Instructions...
  Change the number of columns	To change the number of columns displayed in the Scheduling Toolbar, click the number of desired columns in the Columns drop-Down list. Tip:  The amount of detail that is visible for each time slot is dependent on the number of columns displaying in the schedule.
  Change the dates displayed	In the Scheduling Parameters Panel, enter the Start Date and click View .
  Highlight the time slots displayed	In the Scheduling Parameters Panel, enter the Start and End Times and click View .
  Refresh the columns	Click View in the Scheduling Parameters Area.
  Change the Colors	The background colors for scheduled appointments are controlled by Scheduling Problem Code Maintenance.
