Geographic Area Maintenance

Use Geographic Area Maintenance to maintain information about geographic areas within your utility district.  Geographic areas are another way to group customers and they are linked to territories and to technicians.  In addition, Geographic areas can be linked to streets and weather tracking.  Geographic areas are used during the Service Management routines, during Call Entry and they print on customer work orders.

• Opening Geographic Area Maintenance, click More.

   

  1.  Click Daily Work from the Menu Bar.

  2.  Click File Maintenance.

  3.  Click Code Maintenance.

  4.  Click Weather Tracking Maintenance.

  5.  Click Geographic Area Maintenance.
  
  Tip:  Or, use the keyboard shortcut:  [ALT] [y] [m] [c] [w] [g].

• Creating a New Geographic Area, click More.

   

  Geographic Area Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  Geographic Area ID	To create a new Geographic Area enter the new Geographic Area ID (up to 5 characters) and click Retrieve , or press [ENTER]. Keyboard shortcut:  [ALT + t] Tips: Or, enter the new Geographic Area ID and click File from the Menu Bar; next click New. Keyboard shortcut:  [ALT] [f] [n] To indicate that you are building a new Geographic Area, New  displays near the Geographic Area ID.  Default entries display and the first field is highlighted to let you know you can begin entering information.
  	To update the new or changed information, click Save or press [ENTER]. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save new or changed records.
  	To view all of the existing Geographic Areas, click Search.  From the Search list you can select the record to change or delete. Keyboard shortcut:  [ALT + r]
  	To display an existing Geographic Area, enter the Geographic Area ID and click Retrieve, or press [ENTER]. Keyboard shortcut:  [ALT + t]
  Title	Enter the title associated with the Geographic Area. (up to 15 characters)
  Description	Enter the full description associated with the Geographic Area. (up to 40 characters)
  Territory	Enter a valid Territory ID to assign to the geographic area. (up to 4 characters) Notes: To search for a Territory ID, click Search or press [CTRL + f]. To create a Territory ID, click Fast Access Maintenance  or press [CTRL + o].

   

• Editing an Existing Geographic Area, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed records.

  1.  To display the record to be changed, enter the Geographic Area ID and click Retrieve , or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  
  Tip:  If you do not know the Geographic Area ID, you can click Search  to see a list of Geographic Areas.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save , or press [ENTER].

• Deleting an Existing Geographic Area, click More.

   

  1.  To display the record to be deleted, enter the Geographic Area ID and click Retrieve , or press [ENTER].
  Keyboard shortcut:  [ALT + t]
  Tip:  If you do not know the Geographic Area ID, you can click Search  to see a list of Geographic Areas.

  2.  Click File from the Menu Bar, and next click Delete.
  Keyboard shortcut:  [ALT] [f] [d]

  3.  At the Delete Records prompt, click Proceed to delete the record, or click Cancel to escape from the delete routine.
