Payment Entry - Creating and Applying Unapplied Credits

An Unapplied Credit is created when you enter a payment that exceeds the outstanding balance for the account and is not associated with a specific ticket.  For example, if you receive payment before any charges have been entered, you can still enter the payment as an unapplied credit.  You can later apply the unapplied credit amount to a specific ticket.  The directions below describe how to create and then later apply an unapplied credit during Payment Entry.

  Use this method if at this time, there are no tickets that you can apply the payment against.

  1.  Follow the directions for opening the Transaction Detail Entry By Automatic Oldest First Window.

  2.  Enter a payment that exceeds the Selected Charges Balance for the patient, which is the outstanding balance for the displayed tickets.

  3.  Click Apply Cash to enter the payment.

  4.  Click OK to create the unapplied payment transaction.

  5.  At the prompt shown below, click OK.

  6.  Commit the transaction.

  	To create a ticket with an unapplied credit, click OK or press [ENTER]. Keyboard shortcut:  [ALT + o]
  	CAUTION To avoid losing data, you must click OK.
  	To cancel the transaction without creating an unapplied credit or to apply the payment using another method, click Cancel. Keyboard shortcut:  [ALT + c]

   

• Applying an unapplied credit to a ticket, click More.

   

  Use this method after a charge has been entered for the patient, and you want to apply a previously unapplied credit to a specific ticket for the charge.

  1.  Follow the directions for opening the Payment Entry - Batch Entry Window.

  2.  Select Batch Sequence Number 9, which is reserved for applying unapplied credits to tickets.

  3.  Select the By Detail (Manual Method) Cash Application method.

  4.  Click OK to display the Payment Entry - Transaction Detail Entry By Detail Window.

  5.  Select a ticket and enter the transaction as you would for any detail payment.

  6.  Commit the transaction.
  
  INSight automatically reduces the unapplied payment by the payment amount you entered for the ticket.
