Patient Entry - Credit Messages Window

Use the Patient Entry - Credit Messages Window to maintain information about all correspondence and phone conversations between your practice and your patients.  This includes recall letters, correspondence generated by INSight's Patient Letter Writer, phone conversations, HCFA claims and patient statements.

Note:  To automatically update a patient's account with a Credit Message you must print a letter generated by the Patient Letter Writer, and the letter must be assigned a C for Credit Message.

Tips:  

• The Credit Message Window has three main areas.  

• Credit Messages - The top area is reserved for credit message information.
  
  Note:  There are two ways to maintain Credit Messages.  You can maintain messages manually or you can use the Patient Letter Writer to update patient credit messages.  To notify you that a patient has credit messages, the first message displays during Patient Transaction Detail Inquires.  Additionally, you can print the Credit Message Followup Report to see Credit Message information.
   

• HCFA Claims Tracking - The middle area displays HCFA claims tracking.

• Statement Tracking - The bottom area displays patient statement tracking.

• Opening the Patient Entry Credit Message Window, click More.

  1.  Enter the Account Number.

  2.  Click Credit Messages in the Menu Tree.

  Tip:  For details about loading patients and opening windows, refer to the Patient Reference Panel topic.

• Entering a new Credit Message for a patient, click More.

  Patient Entry - Credit Messages Window Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  	To enter a new message, click New Msg.
  First Contact	If this is the first time correspondence is sent, enter the date. (mm/dd/yyyy) Note:  Once you enter a First Contact date, this field becomes display-only and cannot be edited.
  Next Contact	Enter the date the patient should next be contacted by the practice. (mm/dd/yyyy)
  Show Full Message	Click this option to show the entire message line.  The Date, Time, and User columns will be hidden. Clear this option to show the Date, Time, and User columns. Tip:  This option may be helpful for small monitors or when the monitor resolution makes it impossible to see the entire width of the message.
  	Click zOOm to temporarily change the font size in the window.  You will see the following prompt, where you can drag the slide bar to enlarge or shrink the font. Example:
  	Click Sort Date to toggle between sorting the credit messages by the oldest date first (ascending) and the newest date first (descending).
  	Click Sort Seq # to sort multiple credit messages entered on the same day by the sequence in which they were entered. You can toggle between sorting the credit messages by the oldest sequence number first (ascending) and the newest sequence number first (descending).
  Message	Enter the text of the message on this line. (up to 75 characters)
  	To update the new or changed information, click Save, or press [ENTER] if the button is in focus. Keyboard shortcut:  [ALT] [f] [s]
  	CAUTION To avoid losing data, you must save new or changed credit messages.
  	To delete a credit message, click to highlight the message and then click Delete.
  Credit Message List	Displays a list of all correspondence sent to the patient.  Detail includes the correspondence date, time, user id, and credit message. Tip:  When you click Save, the additions or changes display in the Credit Message List.

   

• Editing an existing patient Credit Message, click More.

   

  CAUTION:  To avoid losing data, you must save new or changed credit messages.

  1.  To display the credit message to be changed, click the message in the list so it is highlighted.  The credit message text displays in the edit box above the Credit Message List for your editing.

  2.  To position the pointer to the information that you want to change, press [TAB] or click the field using the mouse.

  3.  Enter the data changes.

  4.  To complete the edit process, click Save , or press [ENTER].

• Viewing HCFA Claims Tracking, click More.

   

  HCFA Claims Tracking displays the Claim Date, Method, Ticket Number, and Insurance Code.

• Viewing Patient Statement Tracking, click More.

   

  INSight updates a patient's Statement Tracking List each time a statement prints with a statement (dunning) message.  During Print Patient Statements, if you do not assign a statement message to print on patient statements, the patient's Statement Tracking List isn't updated.

  Below is an example of the Statement Tracking Inquiry area of Patient Entry - Credit Messages Window.  Each line of the Statement Tracking includes:

  • The Statement Date of the printed statement

  • The Statement Message Code that printed on the statement

  • The assigned Statement Message
