Alpha Table Maintenance

Use Alpha Table Maintenance to maintain the table that sets up the user-definable alpha fields that are an optional part of the master information for each of the master maintenances listed below.  During Alpha Table Maintenance you can assign the field label (field name) and special properties for the field to have.  While there are twenty-seven separate alpha fields available for each master maintenance, you only define as many as you need.  

Notes:

• Follow these instructions to maintain the table for the user-defined alpha fields for:

• Customers. You can view the user-definable fields during the Customer view of the Enhanced Inquiry or the Customer User Definable Panel of the Customer Inquiry.

• Locations.  You can view the user-definable alpha fields during the Location view of the Enhanced Inquiry or the Customer User Definable Panel of the Customer Inquiry.

• Companies.  You can view the user-definable alpha fields during the Company User Definable Window.

• Meters.  You can view the user-definable alpha fields during the Meter User Definable Extended window.

• Trailers.  You can view the user-definable alpha fields during the Trailer User Definable window.

• Components.  You can view the user-definable alpha fields during the Component User Defined Extended window.

• Backflows.  You can view the user-definable alpha fields during the Backflow User Definable window.

• Connections.  You can view the user-definable alpha fields during the User Definable area of the Connections view.

• In addition, there are user-definable numeric fields that are an optional part of each maintenance.  For more information, see Numeric Table Maintenance.

• Opening Alpha Table Maintenance, click More.

   

  1.  Click Daily Work from the Menu Bar.

  2.  Click File Maintenance.

  3.  Click Table Maintenance.

  4.  Click Customer Extended Labels Table.

  5.  Click Alpha Table.

• Creating the new Alpha Table, click More.

   

  IMPORTANT:  You can not create a new Alpha Table.  The necessary table is created during the software installation and updates.  To maintain the Alpha Table, see the instructions for editing later in this topic.

   

• Editing the Alpha Table, click More.

   

  CAUTION:  To avoid losing data, you must save the changed record.

  1. To display the record to be changed, simply open Alpha Table Maintenance.  The record automatically displays.

  2. To position the mouse to the field to be edited, press [TAB] or click the field using the mouse.

  3. Enter the data changes.

  4. To complete the edit process, click Save or press [ENTER].

  Alpha Table Maintenance Prompts Tip:  To see more information about a field, click the hyperlink for the field name.
  	To update the new or changed information, click Save or press [ENTER]. Keyboard shortcut:  [ALT + s]
  	CAUTION To avoid losing data, you must save new or changed records.
  	Search is not active for this program.
  	Retrieve is not required in this program.
  Note:  There are three options for each field:  Alpha Field Label, Special Formatting, and Special Conditions.  Each column (one column for each of the three options) is described below along with the general instructions.
  Alpha Description 1 - 16	Displays the number of the field being labeled and formatted.
  Alpha Field Label	Enter the label of the field. (up to 30 characters)
  Alpha Special Field Format	To specify any special formatting for the field, click a choice in the drop-down list. Special Format Options: None - No special formatting is required for the field Phone Number - Format the field as a phone number Zip Code - Format the field as a Zip Code
  Alpha Field Special Conditions	To specify any special field conditions, click a choice the drop-down list. Special Field Conditions: None - No special condition for this field Reason Code Search - Activate the Reason Code Search for this field Message Code Search - Activate the Message Code Search for this field Meter ID Search - Activate the Meter ID Search for this field Customer ID Search - Customer ID Search for this field Location ID Search - Activate the Location ID Search for this field File Attachment - Allow file attachments for this field Tips:   To alert you if there is a file attachment for a specific field, displays. To alert you if there are search capabilities for a specific field, displays.

   

• Deleting the Alpha Table fields, click More.

  Important:  To maintain data integrity, you can not delete the Customer Labels Alpha Table.  However, you can delete a field label within the table.

  To delete a field within the Alpha Table:

  1. To position the pointer to the field that you want to delete, press [TAB] or click the field using the mouse.

  2. Press [DELETE] or [BACKSPACE] to remove the entire field label.

  3. To complete the field delete, click Save or press [ENTER].
